Introduction

The following terms and conditions are based specifically on the management plans we have in place to make our Events run smoothly and safely for everyone.

Participation

You agree to keep your 'Competitor Details' held on our entry system up-to-date with your Telephone Number an Emergency Contact Name and Telephone number

Our Events take place on well-marked tracks and paths which include rough terrain and climbs, and which can be subject to harsh weather conditions.

You agree that you are fit and well, physically capable of taking part in the Event and are solely responsible for your actions. Lakeland Trails is not responsible for any injury or illness that you may suffer because of your participation unless it is as a result of our negligence.

Our Events take place on public rights of way and rely on the support of locals and volunteers, and the hard work of our Crew for their success. You agree you will be polite and courteous at all times, including in any correspondence before or after an event, and follow instructions given by marshals or crew. You also agree to park safely and considerately either in our official car parks, public car parks or, only where it is safe to do so, on public roads.

Any competitor found to be behaving in an inappropriate way will have their entry cancelled or be disqualified without refund and may be prevented from entering future Lakeland Trails events.

Virtual Events

If you are manually uploading your runs, you agree to do so accurately and submit evidence if requested.

Any subjective prizes will be judged independently and awarded at the discretion of Lakeland Trails and inov-8

You agree to follow the Facebook Community Standards when interacting with other competitors on any Lakeland Trails Facebook page or group.

In the event of any issues with any APIs used to automatically sync your activities, you agree to manually upload them within the timescales of the event.

Race Entry

The event entry fee is individual to you, non-refundable and non-transferrable except at our discretion in the limited circumstances outlined below.

Purchase of Optional Extras Constituting Part of an Entry

The purchase of an event t-shirt forms part of your race entry and cannot be refunded or transferred other than as part of an entry cancellation or transfer.

T-shirts can be added to the order at the time of entry or separately up to 4 weeks before the date of the event.

Event t-shirts can only be collected at the event for which they have been ordered, with the exception of those purchased for Virtual events, which will be posted out.

Event t-shirts for participants who do not attend the event can be posted out for an additional charge of £5 per t-shirt provided the postage cost is paid for via the 'Shop' page on our website not less than 2 days before the event. In this instance, event t-shirts will be despatched as soon as possible after the event to arrive within 28 days of the event date.

T-shirt colours are subject to availability and we reserve the right to change the colour at short notice.

Refunds & Cancellations

For all events, you have the option to cancel your entry.

For events excluding the Ultra, provided we are informed by email no less than 4 weeks before the event, a full refund will be made, subject to a £10 administration fee.

For the ‘Ultra’, provided we are informed by email no less than 16 weeks before the event, a full refund will be made. If you wish to cancel less than 16 weeks but more than 12 weeks before the event, you will be entitled to a refund of 75%. If you wish to cancel less than 12 weeks but more than 8 weeks before the event, you will be entitled to a refund of 50%. All refunds for Ultra entries will be subject to a £20 administration fee.

Refunds of individual entries forming part of a Series Entry are not permitted. Refunds of a Series Entry are subject to a £20 administration fee.

Cancellations requested less than 4 weeks before any event will not be permitted.

Race Transfers

Transfer of individual entries between different events is permitted, subject to availability, providing we are informed by e-mail no less than 4 weeks before the event you wish to transfer from. When transferring to a higher value race, (e.g. the Marathon) the difference in cost is payable in advance of the event.

Transfer of individual entries between contests on the same date (e.g. from the Race to the Challenge) is permitted, subject to availability, up until the closing time of Registration for the contest. Requests up until 6 days before the event must be made via the entry system on our website. Requests after this time must be made by email up to 3 days before the event or in person at Registration.

If a request is not made and you run in the wrong contest, you will not appear in the results and you will not be eligible for any prizes.

Deferral of individual entries to a different event is permitted provided we are informed no less than 4 weeks before the booked event.

The exception to the above is for entries purchased as part of a Series Entry. The only transfer option here is to defer to the same event the following year.

Competitors using someone else's number can have serious consequences in the event of a medical emergency. The accuracy of the race results is also affected when competitors are placed in the wrong event, age or gender category.

Any competitor using someone else's number will be disqualified.

Third Party Events

For safety and insurance reasons, we do not work with third party events, and will not accept entries for use in third party events (such as utilising our Marathon event as a stage for a third-party Triathlon event). We exercise our right to refuse entries on this basis, and should you make an entry for a third-party event, you will not be listed on our start list and will not be refunded your entry fee for that event.

Race Alteration & Cancellation

We reserve the right to refuse or cancel entry applications, or alter the date of the event, the course route or the distance. Only a partial refund will be given if the event is forced to be cancelled due to circumstances beyond our control, e.g. by order of the Government or landowners due to biosecurity restrictions.

Data Protection

Any personal information you give to us will be processed in accordance with the UK Data Protection Act 2018. Lakeland Trails will only use and share your information to process entries into our Events, ensuring your safety during the Event and keeping you informed by email. Your information will not be shared with third parties for any other reasons.

By registering for an Event, you confirm that you have read and agree to these Terms and Conditions.
